Almost every application that involves money — renting an apartment, financing a car, getting a mortgage — asks you to prove your income. Pay stubs are the standard evidence, but the number requested varies a lot. Turning up with the right documents the first time can mean the difference between approval this week and a back-and-forth that costs you the apartment.

What lenders and landlords are looking for

However many stubs they ask for, the reviewer is checking the same three things:

  • Amount — is your income high enough for the payment?
  • Stability — is it consistent from one period to the next?
  • Recency — is it current, rather than from a job you've since left?

That's why the most recent stubs matter most, and why a stub showing year-to-date (YTD) totals is so useful: one document shows both this period and the year so far.

Quick reference

ApplicationTypical request
Apartment rental2–3 recent stubs, or about a month's worth
Car loan1–2 most recent stubs, sometimes only if your credit is thin
MortgageMost recent stub covering 30 days with YTD totals, plus W-2s
Personal loan1–2 most recent stubs
Government benefitsOften 4 weeks or 30 days of stubs

These are typical, not rules. Each landlord and lender sets its own requirements, so always check the application.

Renting an apartment

Landlords and property managers commonly ask for two or three recent pay stubs — roughly a month of income. Many also apply an income rule, such as monthly gross income of at least three times the rent, so a $1,500 apartment would call for about $4,500 a month before tax.

If you're paid weekly, three stubs is less than a month; bring four. If you've just started a job and don't have stubs yet, an offer letter on company letterhead stating your salary and start date is widely accepted.

Car loans

Auto lenders vary the most. With strong credit, many dealers and lenders approve a loan without asking for income documents at all. When they do ask — often for a larger loan, a newer credit history, or a self-reported income that seems high — one or two recent stubs is the usual request, ideally showing YTD earnings.

Mortgages

Mortgage underwriting is the most thorough. For a salaried or hourly borrower, a typical request is:

  • Your most recent pay stub, dated within about 30 days of the application, showing year-to-date earnings.
  • W-2s from the last one or two years.
  • Often, a verification of employment, in which the lender contacts your employer directly — sometimes again just before closing.

If your income includes overtime, bonuses, or commission, expect to document a longer history, since lenders typically want to see that variable pay has been consistent. Why your W-2 doesn't match your final pay stub is worth reading before you hand both over, because underwriters compare them.

If you're self-employed

Freelancers and business owners don't receive stubs from an employer, so lenders generally ask for a broader picture:

  • Tax returns, usually for the last two years, with all schedules.
  • 1099 forms from clients.
  • Bank statements showing regular deposits.
  • A profit and loss statement for the current year.

Some self-employed people create pay stubs for the salary they pay themselves from their business, and that's a legitimate record when the figures reflect money actually paid. Expect a lender to cross-check those stubs against your bank statements and tax returns, though. Do self-employed workers need pay stubs? covers how to document your own pay.

If you don't have pay stubs

Ask your employer first — most payroll systems keep past stubs online, and how to get a pay stub from any employer covers what to do when that's not straightforward. Otherwise, most reviewers accept some combination of:

  • An employment verification letter stating your role, pay, and start date.
  • Bank statements showing payroll deposits.
  • Your most recent W-2 or tax return.
  • An offer letter for a job you've just started.

A word on honesty

Every income document you submit must reflect pay you actually received. Landlords and lenders verify — through employment checks, bank statements, tax transcripts, and services that confirm employment directly — and an altered or invented stub can be treated as fraud. How to spot a fake pay stub shows how easily the inconsistencies are caught.

Make the reviewer's job easy

  • Send consecutive, complete stubs rather than a scattered selection.
  • Make sure your name and the employer's name are legible on each one.
  • Choose stubs that show YTD totals.
  • Send clear PDFs instead of photos of paper stubs where you can.

If you pay employees or yourself and need clean, consistent stubs for records like these, OakPaystubs calculates taxes and YTD totals for each pay period from the real figures you enter.
